Immediate Vacancy for HR Executive


 

Our client, dealing with shopping mall/Complex is urgently looking for HR Executive.

Location: Mutiara Damansara
Working hours: Mon-Fri, 9am to 5.15pm
Sat [alternate], 9am to 12pm
Salary range: RM2000 to RM3000

JOB SUMMARY

1. To assist Head of Human Resource in daily operations of all Human Resources functions in the Company.

2. To monitor the administration of HR systems and policies.

3. Liaise with all employees at all levels to ensure staff relations are established and maintained through effective administration.

4. To update and execute the HR policies and procedures consistently.

5. To implement, organise and coordinate training.

DUTIES & RESPONSIBILITIES

1. Responsible for the maintenance of the Orisoft HRMWin System for personnel records i.e salary details, bank account number, newly joined staff, transfers, etc.

2. Supervise the safe custody, retrieval and updating of Company personnel files and records.

3. Type letters to employees regarding warning, show cause, salary deduction, transfer, promotion, etc.

4. Administer employee benefits such as to process SOCSO claims, insurance, update records for Hospital & Surgical Insurance when required i.e registration, updating and filing.

5. Tracking of employee probationary period, confirmation and/or any changes in their employment terms.

6. Handle matters on termination of staff such as annual leave and public holidays calculation, termination letter and Final Settlement Form.

7. To carry out any duties assigned by the Head of Human Resource which are related to personnel matters.

8. Provide support to all departments on all personnel related matters.

9. Any other duties as reasonably required from time to time.

10. To attract sufficient suitably qualified candidates to fill vacancies existing in the organization using the appropriate media or executive search companies

11. To instill a sense of camaraderie amongst employees, enhance team spirit and motivational level of employees across departments through appropriate recreational activities e.g. gatherings, sporting events, etc.

12. To promote a “caring employer†culture and ensure that employees welfare are looked into through appropriate activities and programs.

13. To ensure that all Human Resource records e.g. employees’ personal particulars, salary records, leave records, etc are regularly updated and effectively maintained.

14. Directly reporting to the Head of Human Resource.

15. Ensure proper implementation of HR programmes and involve in generating HR reports and ad-hoc HR projects as assigned ie. Cost Saving Measurement, Master Plan, Budget Tracking, Policies & Procedures, Annual Leave Plan, Performance Review, Bonus, Increments, etc.
16. Responsible for all recruitment activities within the company which includes sourcing for recruitment agencies, advertising, develop applicants pool, shortlisting, interviewing and selection.

17. Preparation of reports ie. Monthly Recruitment, Vacancies, Manpower, etc.

18. Ensure data integrity of all information in database (Orisoft HRwin system).

19. Ensures all records and data are updated on new hires, salary changes, promotions, transfers and resignations.

20. Administer and explain benefits to employees.

21. Provide Human Resource advisory support for line managers on any staff issues to understand, influence, improve and optimize organizational performance.

22. Counsel operation employees in respect of work and personnel problems.

23. Conduct interview for non-executive level, ensure pre-employment requirements are in place, monitors completion of appointment letters and contracts issuance.
24. Job description compilation, review, and update as and when necessary for salary grading and job leveling.
25. Monitor, review and analyze staff composition, reports submission on staff movements, turnover analysis and recruitment cost.
26. Conduct exit interview for non-executive positions.
27. Monitor and record keeping on probationers.
28. Monitor and record keeping on contract staff status to ensure compliance of recruitment policies and procedures are met.
29. Benchmark and analyze data from salary surveys to ensure competitiveness.
30. Full support for payroll-related activities and enquiries.
31. Responsible for streamlining, formulating and controlling the Human Resources policies, procedures, manuals and handle all employees related matters.
32. Follow up on all disciplinary cases at operation levels to ensure that company policies are clearly understood and adhered to.
33. Develop effective compensation strategies that link rewards to performance and develop follow-up strategies.
34. Manage and coordinate employees’ training (out-station logistics) ie. Teambuilding Workshop, etc.
35. Prepare minutes of meeting, reports, presentations, proposal, internal memo and other correspondence for submission to Director and Centre Manager.
36. Coordinate SOCSO administration for staff on accident claims and insurance claims.

Requirements:
- Diploma / Degree in Human Resource Management with at least 3 years working experience in human resource field.
- Knowledge of the Employment Act 1955, and other statutory acts.
- Good communication skills: Both written and spoken of English and Bahasa Malaysia
- Open race & gender
- Malaysian citizen or Permanent Resident status only.
